Engagements that remain visible throughout.
Engagements tend to deteriorate gradually and then abruptly. TrackBeam applies the same four-stage structure and the same checkpoints to every mandate, so that a deviation is reflected in a figure as soon as it begins.
The four-stage lifecycle
Costing, assignment, monitoring, then billing and close. An engagement carries its budget from the first stage through to the last, which is what gives the final write-off figure its meaning.
Staged workflow within the engagement
Within an engagement, work progresses through preparation, review and approval. A file awaiting review is recorded as awaiting review, visible to everyone concerned without anyone needing to enquire.
Prerequisite tasks
A prerequisite task holds work until the task it depends on is complete. A review cannot be started on an unfinished file, and the required order is held by the system rather than by the people working through it.
Recurring engagements
Monthly and quarterly work regenerates automatically, with date offsets so that a task appears when it should be started rather than on its due date. Your recurring base no longer depends on an individual reminder system.
Batch pools for the season
A batch pool gathers high-volume repetitive work into a single queue the team draws from. Access is granted by peer cooptation: the members already in the pool decide who joins, so volume increases while standards remain under the team’s control.
On close, any write-off is recorded against the engagement and the data is frozen. When the same client is costed the following year, the comparison is made against a recorded figure.
Costing
Define the scope and budget before work begins.
Assignment
Assign the work, with prerequisite tasks in place.
Monitoring
Track projected cost against budget while the engagement is open.
Billing and close
Invoice, record any write-off, and freeze the engagement data.
