A single system of record, from scoping to close.
TrackBeam comprises three connected parts. Engagements carry budgets, tasks carry hours, hours carry approvals, and each of these feeds the priority score that indicates what your team should address next. The information is held in one place rather than alongside the system in spreadsheets.
Engagement management
Engagements tend to deteriorate gradually and then abruptly. TrackBeam applies the same four-stage structure and the same checkpoints to every mandate, so that a deviation is reflected in a figure as soon as it begins.
Timesheets and billing
The difference between hours worked and hours billed is where a firm’s margin is lost. TrackBeam narrows it by requiring every entry to be attached to a task, and by placing two levels of approval between an entry and an invoice.
Automatic prioritization
Rather than a manager re-sequencing work manually each morning, the work list maintains itself from data the firm already produces. This is the component that most changes how an engagement season is managed.
Why a single system
A priority score is only as reliable as the data beneath it. It requires the budget from the engagement, the hours from the timesheet, the risk level from the file and the tier from the client record — all current, and all in one place. Distributed across separate tools, the ranking rests on information that is rarely synchronized.
How the parts connect
- An engagement is costed and budgeted.
- Tasks are created, sequenced with prerequisites, and assigned.
- Hours are entered against tasks and approved in two levels.
- Projected cost is recalculated and compared to budget.
- Priority scores refresh and the work list is reordered.
- The engagement is billed, closed and frozen.
Four stages, applied to every engagement.
Costing
Define the scope and budget before work begins.
Assignment
Assign the work, with prerequisite tasks in place.
Monitoring
Track projected cost against budget while the engagement is open.
Billing and close
Invoice, record any write-off, and freeze the engagement data.
TrackBeam complements iFirm rather than replacing it.
TrackBeam is a workflow layer that operates alongside CCH iFirm. Client information is drawn from iFirm on a schedule, and billing information is returned to it. Your firm keeps the system it relies on and adds the layer it does not currently have.
