TrackBeam complements iFirm rather than replacing it.
Your firm holds years of history in CCH iFirm and has a team that knows it well. TrackBeam is designed to operate alongside it, as a workflow layer that addresses what iFirm does not: determining what your team should work on next, and ensuring the hours behind that work are captured through to the invoice.
Where TrackBeam sits
What you keep
CCH iFirm, CaseWare, and the processes your team already knows. Your accounting software also remains in place and continues to carry your invoicing. Nothing is migrated away from them.
What you add
Automatic prioritization, task-linked timesheets with two-level approval, forward-looking job costing, and engagement lifecycle tracking through to close.
What synchronizes
The integration moves two categories of information, in two directions, on a schedule. Its scope is deliberately limited, which keeps it straightforward to verify and to support.
Client information is drawn in
TrackBeam draws client information from iFirm, so your client base is not re-keyed and remains aligned with the record your firm already maintains.
Billing information is returned
Invoicing information produced in TrackBeam is returned to iFirm, so the billing picture your firm relies on remains where your firm consults it.
Runs on a schedule
Synchronization is scheduled rather than real-time. We state this clearly, as it is a detail worth confirming against your own processes before a pilot begins.
QuickBooks
Invoices produced in TrackBeam synchronize to QuickBooks, so what you billed and what your books record are the same figure, without re-entry.
Stripe
Stripe processes your TrackBeam subscription, that is, the monthly charge from Vectac to your firm. It appears here because it handles payment information, which we list alongside every other service that processes your data.
Questions we are often asked
Do we have to stop using iFirm?
No. TrackBeam is designed to operate alongside it. Firms keep iFirm as their practice database and use TrackBeam for prioritization, timesheets, engagement workflow and job costing.
Is the synchronization instantaneous?
No, it runs on a schedule. If one of your processes requires a change to appear in the other system within seconds, raise it with us during the pilot and we will confirm whether the integration suits that requirement.
What happens to our data if we stop?
Your data is retained for two years following cancellation, and you may export your recorded timesheets, with their services and tasks, by user, to Excel. The Trust Center sets this out in detail. Read the Trust Center.
Evaluate TrackBeam over a full engagement cycle.
Eight weeks, up to seven users, at no charge. Every record entered during the pilot is retained, and carries over if your firm continues.
No payment details are required to begin the pilot.
